Price calculator

The price calculator sets selling prices from buying prices by rule. You define price ranges over the buying price, say what to add on top in each range, how to derive the glass price and how to round, and apply the rules to the whole cellar in one click. Wines whose selling price you locked are left alone. The same rules give you a suggested selling price and glass price while you add a wine, so new wines follow your pricing policy without a spreadsheet.

It is part of the Pro plan and lives on the web app only.

How to use it

Open the page

Open Price calc in the cellar sidebar (the tooltip says Price calculator). The page explains that the rules calculate selling prices from buying prices, that you can update the whole cellar in one click, and that the rules apply to the default selling price only. Extra selling prices (multiple selling prices per wine) are never touched.

If any of your wines have a locked selling price, a blue bar at the top says Selling price locked on N wines. Those wines are skipped when you apply the rules.

Build the rules

Each rule is a price range card with four parts, each with a small help icon:

  1. Buying price: from and to, in your cellar currency. The rules read the buying price with or without VAT depending on the switch at the bottom of the page (Buy ex VAT or Buy inc VAT). The switch is one setting for the whole cellar and it is saved the moment you click it.
  2. Selling price: either add a percentage of the buying price (%) or add an exact amount in your currency. A 100 NOK buying price with 200 % becomes 300 NOK; with an exact 150 NOK it becomes 250 NOK.
  3. Price by the glass: either a percentage of the calculated selling price or an exact amount.
  4. Round the selling price: none (-), or round to the nearest 5, 9, 10, 25, 50 or 100. Rounding to 9 gives prices that end in 9 (119, 129). The same rounding is used for the glass price.

Under each card an Example wine line shows what a wine bought at the range's lowest price would get: buying price, selling price and glass price, rounded as set.

Add a new price range adds an empty card (0 to 0, 0 %, exact glass price 0, no rounding). The X in the corner of a card asks Delete selling price rule? and reminds you that deleting a rule does not change any existing wine or its price. The rule is removed at once.

Ranges are listed by their lowest buying price. When you have more than 25 rules the page loads the rest as you scroll.

Apply the rules

Apply new selling prices asks Apply selling price rules to all wines in cellar? and warns that applying will override the selling prices of all wines within the defined intervals and cannot be undone. On Confirm:

  • the rules you changed or added are saved,
  • every wine whose buying price falls inside a range gets a new selling price and glass price, unless its selling price is locked,
  • wines outside every range and wines with a locked price are not changed,
  • extra selling prices are not changed,
  • the changed prices are pushed to your POS if you have one connected, one wine at a time,
  • the page shows Applying prices... while it runs and Selling prices updated when it is done.

There is no separate save button. Saving a rule and applying it to the cellar is one action.

Suggestions when you add a wine

In the Add wine dialog (Vinify wines and custom wines) the Pricing section shows Calc. suggestion: NOK 300 under Selling price and under Price per glass as soon as you type a buying price ex VAT. Click the amount to put it in the field. When no rule covers the buying price the suggestion shows -. Suggestions are just that: they are not written unless you click them.

Locking a wine's price

Every wine has a lock icon next to its selling price, in the Add wine dialog and in the wine's Pricing tab. A red filled lock means the price is locked and will not be affected by price calculator rules; an outlined lock means the rules can change it. Lock the wines you price by hand (a special bottle, a promotion) and apply the rules to the rest.

Common questions

Do the rules change prices automatically when I add or edit a wine?

No. Adding a wine shows a suggestion you can click; nothing is written until you click it. Editing a wine does not run the rules. Prices only change in bulk when you press Apply new selling prices.

Can I save the rules without changing my prices?

Not today. The only way to save a new or edited rule is Apply new selling prices, which reprices every unlocked wine inside the ranges. Deleting a rule is the one change that saves without applying.

Which buying price do the rules use?

The one you pick at the bottom of the page: Buy ex VAT or Buy inc VAT. The choice applies to every rule and every wine.

What happens to wines whose buying price is not in any range?

Nothing. They keep their prices.

What happens to my extra selling prices?

Nothing. The rules only set the default selling price and the glass price.

Does the POS get the new prices?

Yes. Every wine that gets a new price is synced to your POS as part of the run.

Can I undo an apply?

No. There is no undo. Lock the wines you want to protect before you apply.

Is it on the phone?

No. Rules and suggestions exist on the web app only. The iOS and Android apps have no price calculator and no suggestions.
