Cellar profile

The cellar profile is one wine in your cellar, opened as a panel over the inventory. It holds everything you know about that wine: prices and margins, how many bottles sit where, its history, its wine list settings and its details. Every field saves as you leave it, so the profile is where you fix a price, move bottles, tag a wine or link a custom wine to the database.

How to use it

Opening and closing

On the Wines page, click a wine's name or the Edit link at the end of its row. The profile slides in from the right over the table; the table stays usable behind it. Close it with the round X at the top left of the panel. The panel opens on the Pricing tab; the tabs are Pricing, Quantity & locations, History log, Wine list and Details.

The header

The header shows the wine's image (your own photo when you uploaded one), its style, the name with the vintage and, when the bottle is not 0.75 L, the size in red, a Liv-ex chip for wines with Liv-ex data, and the origin with its flag. Under it is the private note: "Add a private note for this wine", saved when you leave the field.

Top right: Public profile opens the wine's page on Vinify for a database wine; for a custom wine the button is Match wine instead (see Add wine). The three dot menu has Convert to custom (database wines only: the wine keeps its data but loses its link to the database, so it no longer gets market value or a suggested drinking window) and Delete wine, which asks you to confirm and then removes the wine from the cellar.

Pricing tab

  • Market data. With the Market value add-on, a wine with Liv-ex data shows Avg. market value, Lowest rec. price, Last trade price and Avg. restaurant price, each with the date it was last seen, and an "Updated 12.9" badge with a refresh button that fetches the latest Liv-ex figures. Without the add-on the same wines show a Market value card that leads to the add-on. Wines without Liv-ex data show nothing here.
  • Buying price ex VAT and inc VAT. Fill one and the other is recalculated from the VAT rate of the wine's style (the inc VAT label has a tooltip: "VAT for Red wine style is 25 %. Update VAT in Cellar settings.").
  • Selling prices. Selling price with the lock ("This price is used in the POS and affected by the pricing calculator"), Price per glass and Glass size in cl. With Multiple selling prices, each enabled extra price gets its own row: "{Name} selling price", "{Name} price per glass", "{Name} glass size", and the first row is marked Default. While the POS is syncing a price, the fields are disabled and a banner says so.
  • Statistics. A table with one row per price: Price (btl · gls), Sell / buy ratio, Cost ex VAT (inc VAT for private cellars) and Surcharge, each as a bottle value and a glass value. The glass cost is the buying price times the glass size over the bottle size.
  • Three hints close the tab: "Make the wine available BTG (for wine list and POS) in the wine list tab", "Selling price suggestions based on Price calculator", "Multiple selling prices can be managed in cellar settings."

Quantity & locations tab

The top says how many locations hold the wine and the total: "6 + 25 cl Total bottles". Each location row shows its path, a quantity stepper (type a number or use plus and minus), an open bottle field in cl, and a bin icon: "Delete wine from this location", with a confirmation, which discards every bottle at that location. Bottles that sit in no location appear as an Uncategorized row with the same controls. Add new location opens the Move wines dialog to put bottles somewhere else.

A quantity change from this tab is saved after a short pause or when you leave the field; the toast says "Updated quantity!". Reducing writes a Removed line in the history, adding writes nothing (see Cellar history).

History log tab

A table of this wine's transactions: Date, Activity (a colored chip such as Bought, Sold, Removed, Deleted, with a glass icon for glass sales), Btls, Buy ex VAT, Buy inc VAT, Selling and Ratio, newest first. Recipe ingredient rows are not shown. With nothing yet: "No wine activity. All transactions of this wine will be shown here." The web tab is read only; editing, undoing and deleting transactions live on the iOS app and on the cellar history page.

Wine list tab

Producer and wine name for your lists, origin, wine list category, price format, bottle size switch and the Show bottle and Show glass switches per list. See Wine lists.

Details tab

  • Vintage (a year or NV), Bottle size (the standard sizes or Add custom size) and Style. Changing the style to one with a different VAT rate asks first: "Changing style will affect price. The selected wine style has a different VAT percentage. This will update the Buying price inc VAT. Are you sure you want to continue?" For a database wine, changing the vintage or size re-links the wine to that vintage's bottle in the database; if you already have that vintage and size in the cellar, the bottles are merged into the existing entry and this one disappears.
  • POS menu bottle and POS menu glass, read only, for cellars whose POS uses menu groups.
  • Origin (country, region, subregion) with a reset to the database origin for database wines.
  • Grape, shown but not editable; it comes from the database or from what you set when adding a custom wine.
  • Supplier.
  • Tags. Pick or create tags: type a name and choose "Create new tag", or pick from the cellar's tags (most used first). A tag's three dot menu renames it, recolors it (16 colors or your own) or deletes it, and each of those applies to every wine carrying the tag; deleting asks "Delete "Reserve" tag? After deletion, the tag will be removed from 4 wines." Tags are saved when you close the picker. Names are unique per cellar, up to 50 characters.
  • POS name and POS Glass name for Lightspeed, Unitouch, Munu and Favrit cellars: the article names as they appear in the till, with the provider's character limit shown as "12/32" and the Product ID under each. The hint: "Names shown here will appear in your POS. They are auto-synced with product details. If changed, they will no longer update automatically." Favrit has no glass name.
  • Wine image: drop or pick a file; it replaces the database image in your cellar and on your lists.
  • Drinking window From and To (the two keep their order) and, for database wines, Ask VinifyAI.

What saving does

Each field is saved on its own when you leave it, with a toast such as "Updated selling price". Behind a change:

  • A buying price change updates the price in your open stock count and in the recipes that use the wine.
  • A selling price, glass price, glass size or sold by the glass change is pushed to the POS. Changing the name, producer, vintage, size or style refreshes the POS article too.
  • A new producer name for lists renames the producer on every wine of that producer, and the name stays in deleted wines' history.
  • A region, style or wine list category change reorders the wine lists.
  • With the Market value add-on, a new selling price recalculates how far the wine sits from its market value.

On mobile

  • iOS. Tap a wine in My cellar. The sheet shows the wine (name with vintage, buying price, selling price, market value and drinking window, expert and user ratings or "Custom wines can't be rated"), the private note with Add note, and a menu with Public profile and Share (database wines), Move and Delete. Tabs: Bottles (each location with a stepper and cl field; changing shows the reason chips and a Save button such as "Add 2 bottles" or "Remove 1 bottle & 25 cl"; taking a location to zero asks "All bottles removed. Keep this wine with 0 bottles at this location, or delete from location?", or "... or delete it completely?" when it was the last location; Add location; Move bottles), History (grouped by day, filters by date range and type, and per transaction Edit action, Undo and Delete), Pricing (buying prices ex and inc VAT, selling price, Lock selling price, price per glass, glass size, a Sell / Buy, Cost and Surcharge card for bottle and glass, supplier, and Market data with Last updated and refresh, or "Unlock market value with Vinify Pro" without the add-on), Wine list and Details (producer, wine name, vintage, bottle size, style, origin, drinking window with Ask Vinify AI, grapes for custom wines, photo). Picking a vintage or size you already have shows "2018 (0.75) exists in cellar. Changes will not apply." and the change is dropped when you leave the tab. Fields save when you leave them; the toast says "Wine updated".
  • Android. No cellar profile. The wine's public page has a Cellar block that lists your bottles of that wine by vintage and size with their price and count, and how many bottles are stored in Vinify cellars overall.

Common questions

Where do I change the number of bottles?

In Quantity & locations, per location. Reducing from here is recorded as Removed; to record a sale or a tasting, use the iOS app, which asks for the reason.

I changed the buying price ex VAT and the inc VAT changed too. Why?

The two are tied through the VAT rate of the wine's style, set in Cellar settings. Change one and the other follows.

Why did my other wines from this producer get renamed?

The producer name in the Wine list tab applies to all wines of that producer in your cellar. Reset to original puts the database name back.

I changed the vintage and the wine vanished

You already had that vintage and size. The bottles were merged into the existing entry.

Why can I not edit the grape?

The grape comes from Vinify's database and is read only in the profile. For a custom wine, set it when you add the wine.

Why is Market data missing?

It shows only for wines with Liv-ex data and needs the Market value add-on. Without the add-on you see a card that leads to it.

How do tags work?

Tags are labels you create once per cellar and put on any wine. Renaming, recoloring or deleting a tag changes every wine that carries it. Filter the inventory by tag.

Can I change a transaction in the history?

Not from the web profile. The iOS app lets you change the reason, undo or delete a transaction; POS sales and Deleted lines cannot be changed.
