Locations

Locations are the folders of your cellar: a room, a fridge, a rack, a shelf. You nest them up to three levels deep and put bottles in them. One wine can sit in several locations at once, each with its own bottle count and its own opened bottle (in centiliters). Bottles you have not placed anywhere are Uncategorized. Locations let you filter the cellar by place, see statistics per place, count stock place by place, and move bottles between places (see Move wines).

Locations are part of every plan. The web app has the full feature; iOS has folders, pickers and editing; Android has only a location picker inside stock count.

How to use it

On the web

The Locations sidebar. The wine table has a locations panel on its left (drag its edge to resize it). It lists All wines, Uncategorized and your locations as a tree, sorted by name; click a location to show only the wines in it, click the chevron to open its sub-locations. The search box at the top finds a location by name and shows its path. The location you picked stays selected when you come back.

Create, rename, delete, share. With a location selected, the header menu offers Create location (a new sub-location inside the selected one; not available on the third level), Rename location, Delete location and, for a few cellars, Share location. Deleting a location asks first: all wines in it, and in its sub-locations, become Uncategorized; the location is removed from the tree. Creating a location from the empty cellar view or the picker uses the placeholder e.g. Room, Basement, Rack, Shelf, Fridge....

Show statistics in the same menu turns on a summary header for the selected location (labels, bottles and values for that place).

Placing a wine when you add it. The Add wine dialog has Location in cellar. It starts on the location you have selected in the sidebar (or Uncategorized). Change opens the tree: click a location to pick it, drill into sub-locations, use the back arrow, search across all levels, or create a new location right there with Create new location or Create a new sub-location in X. Done closes the picker.

A wine's locations. The wine profile has a Quantity and locations tab: one row per location with the path, the bottle count (use plus and minus, or type), the opened centiliters, and a bin icon that removes the wine from that location after a confirmation. An Uncategorized row appears when bottles are unplaced. Add new location opens the Move wines dialog for that wine.

Share location. For cellars with the option, Share location gives a public link (/location/{name}/{id}) that lists every wine in the location and its sub-locations. Copy link or Open link.

On iOS

In the cellar list, locations show as folders at the top of the list with their sub-location count; tap to open a folder, tap the dots for Rename, Delete or Select (to move wines). Folder pickers (Move to, Choose location) list Your locations at the root with Uncategorized last; tap a folder to drill in, tap the header to go back, Create new location creates one at the current level, Select confirms. The picker on the cellar home and in filters has a search box that matches any word of the full path. Creating or renaming opens a small screen (New location / Rename location) with Done and Cancel; an empty name becomes "New location".

When you add bottles the flow asks where they go (Your locations, drill down, Other or create new location). The wine's Bottles tab lists its locations with the path and "N btls + X cl", a quantity field with plus and minus, a centiliter field, and the reason chips for the change; Add location and Move bottles sit below.

On Android

Android has a location picker in the stock count screen (Choose location): Your locations with a breadcrumb, folders with a chevron when they have sub-locations, Uncategorized, Create new location (a small dialog with a Name field, Save and Cancel, default name "New location") and Select. Locations cannot be renamed, deleted or filtered on Android, and wines cannot be moved.

Common questions

How many levels can I nest?

Three: for example Cellar, Rack A, Shelf 3. The third level cannot get sub-locations.

What happens to bottles when I delete a location?

The bottle counts of that location and its sub-locations are added to the wine's Uncategorized count. Opened bottles (centiliters) at those locations are not carried over.

Can the same wine be in two places?

Yes. Each place has its own count and its own opened bottle. The wine's total is the sum plus Uncategorized.

What does the bin icon in the wine's locations tab do?

It removes the wine from that location and takes those bottles off the wine's total. It is not a move; use Move wines to keep the bottles.

Can I share a location?

Only cellars that Vinify has enabled see Share location. The link is public: anyone with it sees the wines, their quantity, buying price and purchase note.

Does the POS know about locations?

No. POS sales reduce Uncategorized first, then locations by size.
