Wine inventory software for wine bars: bottles, pours and cocktails

A wine bar has three jobs a bottle count never covers: pours in centiliters off an open bottle, a list that turns weekly, and cocktails that count their ingredients. Vinify keeps all three on one cellar, and the morning import writes each night in.

The starting point

By the glass should not be a guessing game

The tally that never survives

Pour, pour, pour, and at close nobody knows what is left in the open bottles or what sold. The printed list went stale by Wednesday, and the till still sells a glass of the Etna Rosso you finished last night.

The bar that counts itself

Every glass is rung on the till as a glass; the next morning Vinify imports the night and takes each pour’s centiliters out of the open bottle. A wine at zero drops off the live list, a recipe draws on every ingredient on tills that read recipe sales, and close is a record, not a reconstruction.

In service

A night at the bar, and the morning after

Nobody types a pour into anything from the first glass to the last. The till keeps the night; Vinify reads it in the morning.

18:00The QR code on the counter opens the live list, wines by the glass at the top sorted by style, read from the cellar.List
20:20A glass of the Etna Rosso goes out and the till takes it as a glass. That is where the pour lives tonight.Till
21:45Two wine flights, each rung as one product on a till with recipe support. The recipe knows which three bottles they draw on.Till
MorningVinify imports yesterday: every glass leaves its open bottle in centiliters in the cellar, every flight draws on its three bottles, each sale a row in history.Cellar

What carries the bar

Four things a wine bar cellar runs on

By the glass

Pours in centiliters, out of the open bottle

The glass size is a cellar setting, capped at 99 cl, and any wine can carry its own, along with its price per glass. Switching a wine on for a list is what puts it by the glass; the app’s own note reads that wines available by the glass in any list become available in the POS.

Glass size in Inventory
The till

Last night’s pours, imported this morning

On most tills, Vinify pulls in yesterday’s sales every morning: a bottle sold is a bottle gone, a glass takes its glass size out of the open bottle, and on tills that read recipe sales a recipe takes its share from each ingredient. Each lands in cellar history as a bottle, a glass or a recipe.

On most systems the bottle price and price per glass you set in Vinify travel to the till, which then carries the same number as the list. We set it up with you, and POS integration brings a sales dashboard for your cellar.

What the connection does Sales analytics
Beverage recipes, Pro

A cocktail that counts its ingredients

A recipe is a named product you sell: the cellar bottles it is built from, each amount in centiliters, and its cost, cost percentage, sell/buy ratio and selling price. The product’s own example is a wine pairing menu of three 10 cl pours.

Switch Include in POS on and a sale takes the right centiliters from every ingredient, with its own icon in history. Beverage recipes belong to Pro; reaching the till needs the POS add-on and a system with recipe support, which is not every till.

Wine lists

Three lists, a by-the-glass page and a QR code

Every cellar comes with three lists. Each has its own name and logo, and a wine is shown or hidden per list, bottle and glass switched separately. One switch puts the wines by the glass at the top of a list, sorted by style, or style and country, each with its price per glass.

Share the live link or print its QR code on the list. The public page rebuilds from the cellar whenever it is opened, so a wine at zero is missing from it, and so is a wine without a selling price. The guest’s phone opens it as a PDF, in the language your cellar runs in, English or Norwegian.

Why a wine bar’s stock is not a bottle count

The natural and rotating list

A list that changes weekly is mostly by the glass and mostly new. Each wine you add carries its vintage, bottle size, price per glass and, if it needs one, its own glass size; one switch puts it on the list, the live link, the till. When the last bottle goes, it falls off by itself and the QR code on the counter stays honest.

The morning after, history shows which glasses moved, and the weekly summary gives total sold, profit and the average sell/buy ratio: a wine that never pours is a fact by Sunday.

The cocktail-led bar

A cocktail is stock that leaves the cellar in centiliters from three or four bottles at once. In Vinify it is a beverage recipe: a named product with its ingredients in centiliters, its cost and cost percentage, its selling price and sell/buy ratio. On a till with recipe support, a sale draws on every bottle it is built from.

The same recipe carries the wine side: a wine flight of three pours, or a wine pairing menu, is one product on the till and three deductions in the cellar.

Open bottles, in centiliters

An open bottle is neither a bottle nor nothing. Vinify keeps it as centiliters left, per wine and per location: the bar fridge holds its full bottles and what remains in the open one. A move to the basement carries bottles and open centiliters alike. A stock count starts from those live numbers, one location at a time, and updates the cellar as you confirm each line; stock count sits in Pro. When a bottle goes out with no till involved, AI cellar chat (Beta) finds it in your cellar and takes it off when you tell it.

Bar systems we connect to

Four of the systems bars run on. All four take recipes from Vinify and deduct glasses, sales are imported daily, and the POS page names the rest.

The glass is rung tonight and, on most systems, imported the next morning, and the open bottle loses those centiliters, at the cellar’s default glass size or the size set on that wine, up to 99 cl. The wine’s Quantity and locations tab shows bottles per location and the centiliters open.

Yes, with beverage recipes, part of Pro: a named product built from cellar bottles, with an amount in centiliters per ingredient and its own selling price. On a till with recipe support, a sale removes the right centiliters from every ingredient; the tills that carry recipes say so on their own pages under POS integration.

The live link keeps up. The list is a QR code or a link, in English and Norwegian, and the app’s own line is that it is automatically updated with every change made in your cellar. Swap a wine and the next guest who scans reads the new list.

A wine at zero drops out of every list; the app’s own warning is that the item will not appear in wine lists. A wine with no selling price stays off the list too, until it has one. Mind the order: the glass sells tonight on the till, the morning import carries it into the cellar, and the list follows the cellar. Gone sooner? Take it off in the cellar.

The night happens on the till. Most systems hand Vinify yesterday’s sales in one morning import, bottles and glasses alike, recipes where the till reads them, and each becomes a sale in cellar history. Each system’s page under POS integration gives its own cadence.

Three lists come with every cellar, each with a name and logo of its own, and each decides for itself which wines it shows, by the bottle and by the glass. A list can also open with its by-the-glass page, so one list holds both. All three read one cellar.

Every plan starts with a 14-day free trial. Nothing is charged today, and you can cancel anytime during the trial at no cost. That gives you two weeks of real service nights to judge Vinify on your own cellar.
