AI wine import reads the wine list you already have

Upload the Excel sheet, CSV, PDF invoice or photo your cellar lives in today. Vinify scans it, proposes matches from its wine database, and you confirm what lands. One file in, a live cellar out, with nothing retyped.

The starting point

Running a real cellar in Excel is a second job

The sheet

A delivery arrives, a bottle sells, a price moves. Each one is a cell someone has to remember to edit, usually after service, usually not. Producer and wine name share a column, the vintage lives in three formats, and nobody dares sort it because the last sort broke it.

The import

One upload for the whole list. Vinify reads the file, lays the wines out in columns and proposes matches from its wine database. Your work is supervision: check the column labels, confirm the matches, correct the misses. Deliveries afterwards are the same flow with an invoice.

Nobody wants to retype a few hundred rows into a new system. That retype is the thing AI wine import deletes.

How it works

From file to cellar in three steps

  1. Upload what you have

Drag in one file: an Excel sheet, a CSV, a CellarTracker export, a PDF or a photo of a printed list. You do not clean it up first.

  2. Check the columns

Vinify scans the file and lays the first ten scanned wines out under the columns it detected. You check each column’s label, change it or ignore the column, and your labels apply to the whole file. Wine name is the only required column.

  3. Match, or import as is

Match each line against Vinify’s wine database and confirm the rows you want, one by one or all at once. In a hurry? Quick import adds the whole file as custom products, to match later. Either way the wines land in the cellar location you have open.

What happens to the file

Scanned, matched, confirmed, landed

What the scan reads

The file’s own columns, and the ones it never had

The scan pulls out producer, wine name, vintage, bottle size, quantity, buying price ex and inc VAT, selling price, supplier and your note, wherever the file carries them.

Producer and wine name are always filled, inferred from the product name when the sheet never named them, and style, country and region are filled in the same way. That is why you check the result, in the match table and on each wine afterwards: the scan is a proposal, not the truth.

Matching

Every match is yours to confirm

On the match route matched lines arrive with a proposed wine from Vinify’s database; for an unmatched line you find the wine yourself. A matched wine brings its image, producer and details; with the Market value add-on it can carry Liv-ex market value too.

Confirm rows one by one, or confirm all and unconfirm the ones you disagree with. Only confirmed rows are added, and the counters show scanned, matched, unmatched and confirmed as you go. Vintage, bottle size, quantity and prices are editable right there.

Deliveries

The same flow for every delivery after

Upload a supplier invoice and the wines book into the cellar location you have open, so a delivery lands on the shelf it goes on. Vinmonopolet invoices and receipts come in as images, Vectura invoices as PDFs, straight to the match table.

Already on one of Vinify’s Excel templates? That older route is still there, separate from the AI scan, with the same match table at the end.

Excel sheets as .xlsx, CSV files, PDFs, and JPG, PNG or WebP images, including photos of a printed list. A CellarTracker export comes in as a file like any other. There are dedicated routes for supplier paperwork too: Vinmonopolet invoices or receipts as images, and Vectura invoices as PDFs. Older .xls workbooks, Word and Numbers files and HEIC photos are refused, so export or convert those first.

Vinify scans the file and shows the first ten scanned wines under the columns it detected, so you can check that each column is labeled correctly. Wine name is the only required column; anything else you can ignore, and your labels apply to the whole file. Nothing is imported at this point, and everything is editable in the cellar afterwards.

No. Each match is a proposal from Vinify’s wine database, and you confirm every row individually, or confirm all and unconfirm the ones you disagree with. Only the rows you confirm are added, so you decide what lands. Matched wines arrive with details and images; with the Market value add-on they can carry Liv-ex market value as well.

For a few missing wines, add those rows as custom wines from the match table. For a list that is mostly not in the database, choose quick import: the whole file is added to your cellar as custom products, with the quantity defaulting to one bottle and the size to 75 cl where the file did not say, and you can match any of them to the database later from the cellar. If the scan finds nothing, Vinify says no wines were detected and you can try again with a clearer file or add wines by hand.

The app says it plainly while it works: this may take a few minutes depending on the amount of wines. You can close the dialog while the file scans; the button in the cellar header says when it is ready. Large cellars are written in batches with a progress bar, and the app asks you to stay on the screen until it finishes.

Whatever the file carried: quantity, bottle size, vintage, buying price ex and inc VAT, selling price, supplier and your note. Producer and wine name are always filled, inferred from context when the sheet never named them, and style, country and region are filled in the same way. Price per glass, wine lists and the drinking window are set per wine, from a row’s Add details while matching or afterwards in the cellar. Everything remains editable.

Yes. Open the location the delivery goes to, upload the invoice or receipt, and the wines land there after the same check and confirm flow. Vinmonopolet invoices and receipts come in as images, Vectura invoices as PDFs, and both skip the column check and go straight to the match table.

A PDF is read up to 20 pages, and an Excel workbook is read sheet by sheet. A very large file or photo can be refused; split it, or take a sharper and smaller photo, and try again.
