Cellar settings

Cellar settings holds the few choices that apply to the whole cellar: the default glass size, the cellar currency, the VAT rate per wine style, your extra selling prices, your plan and two downloads. Everything else is set per wine. The page lives on the web. The apps let you change the cellar currency from your profile settings and nothing else.

How to use it

Open your wine cellar and choose Settings at the bottom of the sidebar. The page has a small navigation on the left with General settings, Plans and billing and Downloads. Plans and billing shows for business accounts only.

General settings

  • Default glass size. One size in centiliters for glasses in your cellar, at most 99 cl. Type a number and choose Save. "This can be changed for each wine individually." A wine's own glass size is set on its Pricing tab.
  • Cellar currency. The currency your cellar keeps its prices in. Pick one from the list and choose Save. Set your currency before you enter prices: a dialog asks you to confirm that your stored prices are not converted, only the currency symbol changes. Market values are converted at the exchange rate Vinify fetches every day, so analytics can show a difference between your prices and the market. New cellars start in Norwegian kroner, and 34 currencies are available.
  • Currency for browsing. The same card links to a separate setting for browsing wines outside your cellar. That one converts the prices you see while browsing and does not touch your cellar. It is a setting on your user, not on the cellar.
  • VAT percentage. One VAT rate per wine style, in the order sparkling, white, rosé, orange, red, sweet, fortified, beer, cider, sake, spirits, non alcoholic, other. New cellars start at 25 percent for every style. Changing a rate and choosing Save opens a confirmation: "Updating VAT percentages will recalculate Buying prices inc VAT in your cellar. This action cannot be undone automatically." Apply VAT changes rewrites the buying price inc VAT of every wine from its buying price ex VAT. Selling prices are not touched.
  • Multiple selling prices. Up to four extra selling prices next to the default, each switched on or off and given a two character id such as "HH" or "B2". Enabled ids then appear on every wine's Pricing tab. The card promises that these prices "will not appear in the POS and will not be affected by the pricing calculator". This is a Pro feature: on a plan without it the card carries a Vinify Pro badge and Save takes you to the plans page. It has its own article.

Plans and billing

Your active plan, its renewal date, your add-ons and the billing portal. This has its own article.

Downloads

  • PCK excel template. "Used for setting up PCK POS system". Downloads a file named PCK-Template.xlsx. Only relevant with that POS.
  • Excel export. "Used for exporting cellar wines". Downloads your whole cellar as Cellar.xlsx, one row per wine with every stored field, a Location column with the wine's places, and Bottle SKU and Glass SKU columns when your cellar is linked to Lightspeed or Nanopos. An empty cellar cannot be exported.

On mobile

The apps have no cellar settings page. On iOS and Android the cellar currency sits in profile settings next to your browsing currency. iOS asks you to confirm the change with the same warning as the web; Android saves it directly. Glass size, VAT, extra selling prices and the downloads are web only.

Common questions

I changed the cellar currency and my prices did not change

That is how it works. Only the symbol changes, the numbers stay. If your prices were in kroner and you switch to euro, a bottle at 200 shows as 200 euro. Market values are the exception: they are converted, so the market comparison changes.

What happens when I change a VAT rate?

Every wine of that style gets a new buying price inc VAT, calculated from its buying price ex VAT with the new rate. Selling prices and the VAT shown on wine lists are not changed. There is no undo; set the old rate again to recalculate.

Where do I set the glass size for one wine?

On the wine's Pricing tab. The setting here is only the default for new wines and does not change wines you already have.

Where do I export my cellar?

Settings, Downloads, Excel export. A stock count report is exported from the stock count page instead.

Why can I not switch on the extra selling prices?

They come with the Pro plan. Save on that card takes you to the plans page.

Where do I change the cellar name?

In wine list settings, not here.
