Wine lists

Wine lists turn your cellar into the list your guests read. Every cellar has three lists. Each list reads the same stock, so a wine you sell out or take off the cellar is off the list, and each list has its own look: paper size, cover, fonts, columns, order and prices. You print the PDF, download it, export it to Excel, or share a live link and QR code that rebuilds the list from your cellar every time it is opened.

How to use it

Your lists

Open Wine lists in the cellar sidebar. Each card shows the list's name, its logo, and how many wines are on it: "12 by the bottle • 4 by the glass". The card menu has Open wine list and Rename wine list. Business cellars also get a switch, "Show wine list on your public profile", which shows that list on your cellar's public profile in the Vinify app. Lists cannot be created or deleted in the app; every cellar comes with three.

Which wines are on a list

Every wine has a Wine list tab in its profile with one row per list and two switches: Show bottle and Show glass. Switching on Show glass also marks the wine as sold by the glass, which is what the POS integrations read. Above the switches you set, for this wine and all lists at once:

  • Producer name and Wine name as they should print, with a reset to the original.
  • Wine list category (the category and subcategory the wine sorts under).
  • Price format: the selling price, a blank space, POD, PPF or three stars.
  • Show bottle size on the list.

The tab warns when a wine has no bottles ("update quantity") or no price ("set price"), because such a wine does not print even when its switch is on. The glass switch needs a glass quantity and a glass price in the same way.

The list editor

Open a list. The preview is on the right and the settings on the left; every change saves itself and the preview redraws. The settings are:

  • Page setup. Portrait or landscape; A4, A5, A3, B5 or a custom size in millimetres; the four margins.
  • Cover page. Show or hide wines on the first page, the space above the list, and what sits at the top: a logo, a title or nothing. A logo is an image you upload (it replaces the previous one) and then size, align and drag into place; dragging snaps to the centre. A title has its own text, font, style, size and position. The title text is saved when you leave the field. QR code: hidden or visible.
  • Categories, subregions and regions. Drag categories into order and, inside each, their subcategories, regions or countries. Per row: Show, and Start on new page. "Show all categories" switches every row on. The Wine by the glass block stays at the top and cannot be dragged, but you order its style groups. Press Save changes to store the order.
  • Wine columns. A list is a table you compose. Add a column from the catalog (producer, wine name, name with vintage, name with size, vintage, bottle size, region, subregion, country, private note, bottle price, glass price and a bottle and a glass column for every extra selling price you have enabled), then set its width in percent, alignment, wrap and case. Per column type: the header text (with reset), non vintage as blank, NV or Non-vintage, the bottle size format (liters, full name, name plus liters, short name, and hide the standard size), the price format (currency symbol on or off, 10 / 10,- / 10.0 / 10.00, decimal point or comma), and for the producer column Repeat producer on every row. Drag headers to reorder and drag the handles to resize on the sample page. A list keeps at least one column. Header row: at the start of the list, for each category, or for each country or region.
  • Sorting. By producer, then by price or A to Z; or by subregion.
  • Wine by the glass. A separate section at the top for wines sold by the glass, grouped by style only or by style and country.
  • Additional options. Repeat category title on every page, Show page numbers, 3D effects (two page view only), Hide category lines, Hide wine lines, Table of contents in one or two columns, and a Footnote of up to 280 characters on two lines.
  • Fonts. Google Fonts per role: title, subtitle, body, producer and private note.

Older lists that were never switched to columns show two extra sections, Show prices and Bottle size naming, and a Show private note option (the note prints cut to 14 characters).

The preview and the toolbar

The toolbar above the preview has page numbers, zoom from 40 to 300 percent and Fit to height, one or two page view, book or scroll view, Search with highlights, Print, Download, Excel and Share live link. Zoom, page and scroll position are remembered per browser. The PDF is built in your browser, so a large list takes a moment. Print opens the PDF in a new window and calls the print dialog. Download saves Cellar_<date and time>.pdf. Excel saves wines.xlsx with one row per wine: style, subcategory, country, region, producer, wine name, vintage, bottle size, every price column, selling price per glass, selling price and note.

What the printed list looks like

Categories print in capitals, centred, with the country and region underneath; the producer prints once above its wines unless you asked for it on every row; the vintage, and the bottle size when it is not 0.75 L, follow the wine. A wine's price prints in its price format: the number without decimals by default, or a blank, POD, PPF or ***. The Wine by the glass section prints first, then the table of contents if you asked for one (its entries are clickable in the PDF), then the categories. A category that runs over a page repeats its title at the top of the next page. The QR code prints top right with the caption "Digital wine list". Page numbers sit at the bottom centre; the footnote prints above them on every page except the first.

Share live link copies vinify.app/pdf-wine-list/<id>/<your cellar>. The app says: "Copy the link to share your wine list. The list will be automatically updated with every change made in your cellar." Anyone with the link sees the list, on a phone as a PDF behind an Open PDF button. The page has no toolbar actions, so guests cannot print, download or export. The QR code on the printed list points to the same page. The page title is the list's cover title, or "Wine list".

On mobile

  • iOS. The cellar home shows your lists with Open and a copy link button. A wine's profile has the Wine list tab: one row per list with Show bottle and Show glass and a link to open the list, then Wine list category, Price format and Show bottle size in wine list. The app also has a Wine list settings screen for the default list: fonts for title, subtitle and body from a fixed set of 24, font size Normal or Medium, and switches Show private note, Repeat category, Digital wine list, Page numbers and Extra print margin, saved with a Save button.
  • Android. The cellar home shows the default list with its name and wine count, a copy link button and Open, which opens the live list in the browser. The chevron opens a sheet with Open wine list and Copy link. No per wine switches and no settings yet.

Common questions

How do I add a fourth list?

You cannot in the app. Every cellar has three. Ask Vinify if you need more.

Why is a wine missing from the list?

Open the wine's Wine list tab. The list's switch must be on, the wine needs at least one bottle (or, for the glass section, an open bottle with enough left for a glass) and a selling price. The tab shows a warning when quantity or price is missing. Also check the editor's Categories section: a hidden category or subregion hides every wine in it.

Why does a wine with a blank price format still disappear?

A wine without a selling price does not print, whatever its price format. Give it a selling price and choose the blank, POD, PPF or *** format to keep the number off the list.

The page is rebuilt from your cellar each time it is opened. A POS sale reaches the cellar on that system's own schedule.

No. The link shows the list. Print, download and Excel are for you.

Can I show two prices on the list?

Yes, with Multiple selling prices: each enabled extra price gets its own bottle and glass columns in the Wine columns catalog.

Does the count on the card match the printed list?

Not always. The card counts wines you have switched on for the list. A switched on wine without bottles or without a price does not print.

Why is my footnote not on the first page?

By design the footnote prints on every page except the first.

Can I change the list from the iOS app?

Only the basics: fonts, font size and five switches on the default list, plus the per wine switches. Columns, cover, order and page setup are web only.
